1. What is an Ombudsman?

The Ombudsman is a suitably qualified, independent  person appointed by the Council of the University   whose sole function is to investigate complaints referred by any person who feels aggrieved as a result of conduct allegedly perpetrated by the University or a staff member of the University..

2. For whom does the Ombudsman work?

The Ombudsman is an independent person whose role is to establish the facts as far as reasonably possible

3. With which particular situations can the Ombudsman assist?

Any decision, action or lack of action on the part of the University which an affected person considers to be inadequate and/or tantamount to administrative malpractice.

4. Which specific situations can the Ombudsman not engage?

  • Labour and employment related matters,
  • The conduct or decisions of the University Council and its committees,
  • The University Senate and its committees or the Institutional Forum and its committees,
  • A matter of academic judgement and '
  • A complaint which is patently or vexatious.

5. Are there any costs involved?

No, the service of the Ombudsman is free.

6. Does the Ombudsman have the final decision in a matter?

No, the Ombudsman submits an advisory report to the Principal and Vice Chancellor whose decision on a matter will be the final decision.

7. Will I receive a copy of the Ombudsman’s report?

No, the Ombudsman’s Report on a matter is an advisory report for the benefit of the Principal and  Vice Chancellor

8. How long will the Ombudsman take to finalise my matter?

The Ombudsman has a period of 3 months within which to finalise a matter, except in exceptional circumstances.

9. How long after the Ombudsman has issued his report will I receive the final decision?

The Principal and Vice Chancellor has a period of 3 weeks to consider the report on a case and provide a decision to the complainant.

10. Can I appeal the decision of the Principal and  Vice Chancellor

The decision of the Principal and Vice Chancellor is final and there is no further internal appeal process.
